Position: Operation management officer
Education and Experience Required
- Degree in Logistics and Supply Chain Management, Business Administration, or /and related fields with 3-2 years relevant experience in House Hold Goods directly or indirectly.
- Excellent communication skills both verbal and written
- Knowledge of contract management and Knowledge and experience in organizational effectiveness and operations management implementing best practices.
- Excellent interpersonal skills and a collaborative management style.
- A demonstrated commitment to high professional ethical standards and a diverse workplace
- Excels at operating in a fast pace, community environment
Duties and Responsibilities
- Closely follow up all shipments (import and export) with customs clearing agents, shipping lines, airlines, destination/origin agents, transporters, and give daily update for each file to clients and agent
- Make sure packing list and weight certificate collected on time within 24 hours from packing crew and share with agent and prepare re-export documents
- Provide daily updates on shipment status to clients, agents, and internal stakeholders, ensuring transparency and timely communication.
- Monitor and track shipments from booking to delivery, proactively addressing delays, route issues, or clearance challenges.
- Coordinate with customs clearing agents both Ethiopia and Djibouti team to ensure smooth and timely declaration and clearance of shipments.
- Liaise with customers and their organization liaison officers, shipping lines, airlines, and transporters to confirm schedules, handle documentation, and resolve operational bottlenecks.
- Review and give approval for all shipping document to client and agents including letters, AWB and BL
- Ensure all necessary documents (packing lists, bills of lading, invoices, permits, etc.) are prepared, collected, and shared on time with the right parties.
- Keep operation files neat, organized, and compliant with FIDI standards and company policies.
- Collaborate with Sales, Marketing, and BD units on missing documentation and client updates.
- Follow up on financial matters such as port invoices, bonded warehouse/storage fees, container demurrage, and partner/agent invoices, ensuring proper approval and payment processing.
- Generate daily updates in the company’s automation system and prepare reports for review by the Operations Head and Director.
- Prepare draft invoices upon completion of operations and submit them for approval by the Department Head/Director.
- Ensure all empty containers are returned promptly after delivery.
- Maintain professional, ethical, and customer-focused communication with all stakeholders, ensuring service delivery meets company SLAs and FIDI standards.
- Carry out other operational tasks as assigned by the Operations Head or Manager.
Communication and Networking
Communicates with agents, clients, clearing agents and Transit Marill operational staff.
