Secretary At Maya Industry and Trade Enterprise:
Position: Secretary
Qualifications:
- Bachelor’s degree in Business Administration or related field.
- 1+ years of experience as a secretary, preferably in a similar environment.
- Proficient in Microsoft Office Suite.
- Strong organizational and communication skills.
- High professionalism and attention to detail.
Key Responsibilities:
- Administrative Support:
- Manage day-to-day office operations, including handling phone calls, emails, and correspondence.
- Provide administrative support to executives and managers, including preparing documents, reports, and presentations.
- Organize and maintain files, records, and databases in an efficient and easily accessible manner.
- Scheduling & Calendar Management:
- Coordinate and manage appointments, meetings, and travel arrangements for executives and staff.
- Ensure that all meeting agendas, minutes, and materials are prepared and distributed in a timely manner.
- Keep executives informed of upcoming commitments and follow up on deadlines and action items.
- Communication:
- Serve as the point of contact between internal departments, clients, and external partners.
- Screen and direct incoming phone calls, emails, and inquiries to appropriate parties.
- Draft and proofread letters, emails, and other correspondence on behalf of the company.
- Meeting & Event Coordination:
- Organize and schedule meetings, conferences, and events, including preparing materials, booking venues, and arranging catering if needed.
- Take detailed meeting minutes, track action items, and follow up on progress.
- Document Management:
- Prepare, edit, and format documents, presentations, and spreadsheets for internal and external use.
- Ensure all documents, contracts, and correspondence are accurately filed and stored both physically and digitally.
- Handle confidential information with discretion.
- Travel Arrangements:
- Plan and coordinate domestic and international travel, including booking flights, hotels, and transportation.
- Prepare travel itineraries and ensure all necessary travel documents, visas, and expenses are in order.
- Office Supplies & Inventory:
- Maintain an inventory of office supplies and equipment, placing orders as necessary to ensure efficient operation.
- Oversee maintenance of office equipment and liaise with vendors for repairs or replacements.
- Client Relations & Support:
- Assist in handling client inquiries, scheduling meetings, and managing follow-ups with clients.
- Ensure excellent customer service by maintaining positive relationships with external stakeholders.
- Task Prioritization & Multitasking:
- Assist with ad hoc tasks and projects, ensuring they are completed within deadlines.
- Prioritize multiple tasks effectively, adapting to changing priorities and organizational needs.
Preferred Skills
- Experience supporting senior executives.
- Familiarity with industry-specific software.
