Hanns R. Neumann Stiftung (HRNS) is a German-based global nonprofit organization, registered in Ethiopia with the Authority for Civil Society Organizations, and has been operating in Ethiopia since 2015. The organization’s objectives include improving livelihoods in rural environments, supporting youth, and protecting nature and the environment.Â
Position: Administrative Assistant (Intern)
Minimum requirements
- BA degree in Human Resource management, management, Accounting,Â
- Business Administration and other related fields.Â
- 0- 2 years relevant work experience for first degree.Â
Skills required:
- Basic computer knowledge (word excel and outlook).Â
- Basic English in both spoken and written.Â
- Good communication and interpersonal skills.Â
- Ability to work under pressure.Â
Duties and Responsibilities:
HR Support
- Assist with day-to-day operations of the HR functions and dutiesÂ
- Compiling and updating employee records (hard and soft copies)Â
- Ensure that the employee receives and sign contractual documentsÂ
- Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc.)Â
- Coordinate communication with candidates and schedule interviewsÂ
- Maintain proper records of employee attendance and leavesÂ
- Maintain the integrity and confidentiality of human resource files and recordsÂ
- Perform periodic audits of HR files and records to ensure that all required documents are collected and filed appropriatelyÂ
- Issuing ID card for all employee
Administrative Support
- Update contact lists of clients and staffsÂ
- Maintain client correspondence filesÂ
- Procure office supplies, ensuring timely delivery and effective useÂ
- Manage administrative tasks, including filing, typing, copying, binding, and scanningÂ
- Assist in all the scanning and printing that are requiredÂ
Travel and Logistics
- Make travel arrangements, booking flights, car and hotel reservationÂ
- Arrange for staff and visitors’ accommodationÂ
- Liaise with Logistics department on the arrangement of transportation
Office Management
- Welcome and assist visitors to the office, providing information and support as neededÂ
- Organize staffs and clients meeting and reserve conference roomÂ
- Supervise and support guards, cleaning services, and office messengersÂ
- Ensure the office is fully stocked with appropriate stationery and other supplies
Documentation
- File Administrative documents according to proceduresÂ
- Keep best recording and filling of incoming and outgoing letters to and from HRNSÂ
- Update leaves follow up table for Ethiopia staffÂ
- Ensure the original signed contract document is filed as a hard and soft copyÂ
Duty station
- The duty station will be the HRNS ET office in Addis Ababa, Ethiopia.Â
Reporting
- The Administrative Assistant Position will report to HR & Admin Manager.Â
