Amigos de Silva is a non-governmental organization for development (DNGO) engaged in humanitarian aid and cooperation projects in the areas of water supply and health care pursuing the Millennium Development Objectives.
Amigos de Silva is a DNGO originated in Spain. Initially it focused its efforts in the Afar region of Ethiopia, Africa, to later extend its scope to other countries. Amigos de Silva is a non-profit, non-denominational and apolitical organization.
We are looking for a highly organized and proactive Administrative Assistant to support our NGO’s operations. This role involves handling administrative tasks, assisting with financial documentation, and gathering data to support digital marketing and outreach efforts. The ideal candidate will be detail-oriented, adaptable, and passionate about supporting our mission.
Position: Administrative Assistant
Qualifications & Skills:
✔ degree in Business Administration, Accounting, Marketing, or a related field.
✔ Experience in administrative roles
✔ Knowledge of financial documentation and budget tracking.
✔ Familiarity with digital marketing and social media management (preferred but not mandatory).
✔ Strong organizational and multitasking skills.
✔ Proficiency in Microsoft Office (Word, Excel, PowerPoint), Canva and Google Workspace.
✔ Excellent communication and interpersonal skills.
✔ Ability to work independently and in a team within a dynamic environment.
Key Responsibilities
- Provide administrative support, including scheduling meetings, drafting correspondence, and organizing files.
- Develop and maintain organizational protocols, manuals, and standard operating procedures (SOPs) to enhance efficiency.
- Assist in managing financial records, processing invoices, and preparing expense reports.
- Collect, organize, and analyze data for digital marketing and donor engagement initiatives.
- Maintain and update organizational records, databases, and filing systems.
- Support grant and donor reporting by preparing necessary documents and compiling data.
- Assist in coordinating events, training sessions, and outreach activities.
- Communicate with stakeholders, partners, and beneficiaries as needed.
- Help manage social media accounts by gathering and organizing content.
- Conduct basic research to support project development and funding opportunities.
- Ensure compliance with organizational policies and donor requirements.
- Provide logistical support for field activities and community programs.
- Assist in preparing reports, presentations, and proposals for funding and partnerships.
